Senior Administrative Assistant

Our multidisciplinary team includes global development experts, data scientists, behavioral scientists, and technologists skilled in collecting, analyzing, and interpreting data on why people behave the way they do and how complex systems work, and developing scalable solutions and tools. We are a growing, diverse team with big plans. We are now recruiting for a Senior Administrative Assistant to support our CEO and our growing organization.
Surgo Ventures is looking for a talented, mature, organized, and detail-oriented Sr. Admin Assistant. You have a calm demeanor, a can-do attitude, and juggle multiple competing priorities for the CEO and organization. You thrive on the details and ensure others don’t sweat the small stuff – because you already have. You’re a master “cat herder” and are excited by making your team look good.
In this role, your primary responsibility will be to provide comprehensive support to our busy CEO. You will also provide support to other members of the leadership team and the organization by managing and maintaining organizational systems and processes. This is an excellent role for someone looking to support the effectiveness of a health and social impact organization.
As our Sr. Administrative Assistant, your core responsibilities will be:
Provide support to the CEO regarding her calendar, email, prioritization of meetings, obligations, and her time.
Facilitate arrangements for extensive travel and complex logistics for both external and internal meetings, speaking engagements, and conferences.
Optimize the CEO’s productivity and effectiveness across initiatives and organizational management responsibilities.
Maintain an organized system for tracking, monitoring, and prioritizing contacts, tasks, and projects for the CEO.
Facilitate smooth and effective communication with internal/external partners by reviewing and responding to email, mail, and invitations.
Provide coordination between the CEO and other members of the team when needed.
Prepare internal communications such as updates and memos to the CEO.
Take Comprehensive and definitive notes and document important meetings in the form of meeting reports.
Support to Organizational Systems and Other Priority Areas
Maintain and support organizational systems and structures, including but not limited to funding opportunities, financial systems (billing and invoices), contacts, HR systems (time-off tracking, corporate calendar), publications, supplies, and equipment.
Support office management, supply orders, and other facilities needs coordinating with the Director of Operations.
Manage the organizational email account and main telephone line, directly respond to and direct inquiries to the right members of the team.
Core Experience and Knowledge:
Prior experience supporting a senior leader required; ideally, previous experience supporting the extensively committed CEO of a start-up organization.
Interest and experience in health policy, business and related data, and technology are a plus.
Background developing presentations and written reports for senior leaders.
A high degree of experience with using Excel, Word, PowerPoint, and other software as needed; high level of comfort with technology in general and interest in seeking and exploring new business management tools.
Excellent writing and grammar capabilities.
Exhibit excellent project coordination and time management skills, with the ability to simultaneously manage numerous requests/deliverables based on priority.
Highly skilled with effectively interacting with and supporting senior management.
Utilize problem-solving capabilities and critical thinking to help address challenges.
Extremely proactive; always trying to improve the effectiveness of Surgo Venture activities.
Entrepreneurial mindset, self-motivation, and ability to improve processes and workflows.
Ability to work across multiple time zones given the nature of the work and travel schedule of the CEO.
Must have a US work permit.
Location: Washington, DC (The role currently is remote but will transition to 2 days (Tuesday and Thursday) a week in the office in January 2022.)
Compensation: Competitive compensation and benefits package
Travel: Minimal travel, may include some domestic and international travel (when permissible post-COVID-19)
